You know you need help. But the thought of actually handing something over?
Suddenly you’re picturing endless emails, chaotic instructions, and the horror of “what if they don’t do it right?”
Cut to you lying awake at 2am, spiralling. Sound familiar?
Take a breath. It doesn’t have to feel like this.
Let’s break it down. Simple steps. Zero overwhelm. Possibly some biscuits.
Step 1: Pick one task
(Okay, technically step 1 is: dip the biscuit in the coffee. But still.)
The real first step? Choose just one task.
Not everything. Not the entire business. Just one thing that’s slowing you down. The task that keeps getting bumped to next week’s to-do list.
Think:
Uploading blog posts. Scheduling social media. Updating your website. Managing your inbox.
Pick the one that would make you feel lighter if someone else handled it.
Step 2: Show how you do it
No fancy SOPs required.
Don’t overthink it. You’re not writing a manual for NASA.
Just capture how you do the task. That’s it.
You could record a Loom or Scribe, take a few screenshots, or jot down bullet points as you go.
It doesn’t have to be perfect. It just has to exist. You’ve now got a mini process guide. Well done, you.
(If you want to go deeper on this, this post on creating simple SOPs walks you through the whole thing step by step.)
Step 3: You’re ready to hand it over
You’ve got a task. You’ve got a process. You’re ready.
This is the point where working with a VA becomes a real, doable thing, not just something on your “someday” list.
Bonus: you’re future-proofing too
Documenting your processes doesn’t just make outsourcing easier. It makes your business more resilient.
So if there’s an emergency, illness, tech fail, or (finally!) that long overdue holiday, you’re not scrambling to hand things over at the last minute. You’ve got a system. You’ve got support. You’re not winging it anymore.
Doesn’t feel so scary now, does it?
Turns out, hiring a VA doesn’t require a 47-tab spreadsheet or an existential crisis.
Just one task. One process. One step forward.
Not sure which task to start with?
That’s actually where most people get stuck, and it’s exactly what Waffle & Write is for. A focused 30 or 60-minute session where you talk, I listen, and we turn whatever’s swirling into a proper written summary you can actually do something with and walk away with a clear brain.
Lots of people use it to work out what to hand over first before committing to anything ongoing.
