Community Management: My Favourite (and Sneakiest) VA Service
Let’s be honest… from the outside, running a community looks easy.
You post a couple of motivational quotes, chuck in a poll, and people magically engage. Right?
Except… no.
If you’re the one running it, you already know the truth:
Keeping a community alive (and actually useful) takes time, planning, and a scary amount of emotional energy.
Especially if you’re also trying to use it to sell your offers, not just support people for free.
Here’s what actually helps.
1. Set the tone early
Your group = your rules.
Make it clear from the start what’s welcome, what’s not, and how things work. Think pinned post, simple rules, maybe even a “how to get the most out of this group” welcome guide.
It doesn’t need to be complicated. It just needs to be clear. Saves you so much drama later.
2. Be present, but not clingy
You don’t need to dominate every thread.
You do need to show you’re watching.
Pop into conversations, ask questions, share links to your paid stuff (yes, sell), and keep the vibe human.
People engage more when they feel like there’s a real person paying attention, not ghosting.
3. Use a content rhythm (so you don’t burn out)
A loose plan is your friend.
Think “Monday motivation”, “Wednesday wins”, “Friday fun” or whatever fits your niche. This helps keep things moving, without you needing to reinvent the wheel every week.
Predictability = calm.
No one wants their group to feel like a swamp of random thoughts and forgotten posts.
4. Encourage members to talk to each other
You don’t want to be the only one posting.
The real gold? When members help each other, tag each other, share links, give advice using your resource. That’s when your group starts to feel like an actual community, not a classroom.
Make space for that. Celebrate it when it happens.
5. Deal with issues fast
Spam, salesy DMs, dodgy vibes, deal with it quickly and cleanly.
No drama. No essays. Just delete, refer to the rules, and move on.
Facebook lets you use preset messages when removing posts, use them. Saves you typing and keeps things consistent.
6. Know what works
Polls, reels, videos, lives, track what your people engage with.
Not what the experts say should work.
Not what feels clever or fancy.
What actually works in your group.
Watch. Adjust. Repeat.
7. Make people feel seen
Not in a “creepy ex” kind of way.
Just… notice them.
Comment on their wins. Say hi to new members. Remember someone’s launch.
This stuff seems small, but it builds trust. And trust builds sales. (Yes, I said it.)
8. Save yourself time
Have some pre-written replies for FAQs, welcome messages, or post removals.
Then tweak as needed. You’ll sound human and stay consistent, without having to start from scratch every time.
Community Management Is Not Just Admin
It’s emotional labour.
It’s protecting your brand.
It’s helping people feel at home… while also making sure your paid offers are visible.
And I bloody love doing it for people.
What I Offer (aka How I Make Your Community Feel Lighter)
🧠 Strategic, light-touch support – I make sure your group works without you being on call 24/7
📌 Content & layout review – Clear pinned posts, useful links, and a structure that supports your goals
👀 Monitoring – I dip in, delete what needs deleting, tag what needs tagging, and flag what needs your eyes
💡 Energy check – Is it still serving you? Is it working for sales? Or is it a time-suck with a vibe problem?
For coaches, trainers, educators, and humans who are just done checking their group 37 times a day:
I can help. You get to rest, without everything falling silent.
Don’t just take my word for it…
“You’re a huge, huge asset to the team. Seriously, you’re so damn good at community management. We’d be lost without you.”
That’s what one of my clients said, and I swear I didn’t bribe them with biscuits.
If you’d love someone in your corner making your group feel warm, alive, and actually useful…
